Position: Child Care Intake Specialist (Family Services)
Location: Hayward Office
Hours: Full-Time (8:30 am to 5:00 pm)
Work Week: 37.5 hours
Start Date: ASAP
Salary: $23.39-$25.99 DOE
Community Child Care Council (4Cs) of Alameda County is a nonprofit organization serving families and child care providers in Alameda County. 4Cs of Alameda County exists to develop and coordinate resources to strengthen families and children.

The Child Care Intake Specialist (Family Services) will function as the initial contact person for our Alameda County Social Service Contracts (ACSSA) and our California Department of Social Services (CDSS) contracts. The Child Care Intake Specialist (Family Services) will report to the Manager, Payment Programs.
Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
• Responsible for giving clerical support to the Hayward Family Services Unit
• Assist with contacting new Child Care Referral (CCRF) clients or Eligibility List clients to inform them we received their CCRF &/or application advise them on next steps
• Send welcome letters/packets out to new enrollees
• Responsible for answering/screening/routing telephone calls to staff
• Assist with maintaining the copy machine, office supply closet & meeting spaces
• Responsible for verifying a participant’s eligibility in ACSSA Child Care Portal prior to issuing an enrollment packet for Stage 1 and Stage 2 families
• Responsible for knowing and sharing other program qualifications (CDSS contracts) as needed
• Receives and process new enrollment packets accordingly for stage 1 and CDSS contracts
• Responsible for data entry of orientation attendees into NoHo & contacting parents to confirm attendance
• Responsible for setting up initial file or retrieving returning parent file for orientation
• Responsible for assigning participant to Specialist
• Assist with the orientation process/ clerical support
• Manage WILL CALL for Hayward Family Services Unit
• Assist with preparing Cordata for storage
• Assist with Appeals Process
• Responsible for maintaining personal and confidential family and agency information
• Perform other duties as assigned to ensure the smooth flow of work for the organization
Qualifications
• High School Diploma required; Associate of Arts degree preferred.
• Prefer bi-lingual Dari speaking
• One to two years’ Customer Service experience preferred.
• Ability to communicate well with public and staff
• Computer experience, Microsoft Word, Excel
• Excellent math skills
• Proficiency with Microsoft Office
• Must be a team player
• Excellent verbal and written communication skills
• Transportation required

The Child Care Services Specialist (Family Services/APP) is responsible for assisting participants through all phases of the child care payments assistance program. The Child Care Services Specialist (Family Services/APP) will report to the Supervisor, Payment Programs.
Duties and Responsibilities
• Responsible for developing a professional working relationship with program participants
• Responsible for requesting/collecting documentation for need and eligibility in accordance with CDSS Rules & regulations, Title 5 Regulations and 4Cs policies.
• Responsible for determining/maintaining need and eligibility for a caseload of approx. 160 children and updating the files in a timely manner.
• Responsible for having a strong understanding of the CDSS Rules & Regulations, Title regulations and 4Cs program policies.
• Responsible for explaining the rules/regulations and procedures to the participants.
• Responsible for referring suspected fraud files to the Supervisor.
• Responsible for the mailings of all program forms, letters, program guide to participants.
• Responsible for assessing family fees and assisting with the Family Fee process, if needed.
• Responsible for maintaining confidentiality of participant’s information.
• Responsible for covering the front desk in the absence of the Receptionist.
• Responsible for assisting and facilitating group & one on one orientation.
• Responsible for resolving issues among participants, providers, co-workers.
• Responsible for embracing the Strengthening Families Framework.
• Responsible for providing outside resources/information to families.
• Perform other duties as assigned to ensure the smooth flow of work for the organization.
Qualifications
• Bilingual preferred: Chinese
• AA or Bachelor’s degree Preferred
• Customer Service experience
• Computer experience, Data entry, Microsoft office
• Case management experience
• Excellent communication and writing skills
• Transportation required
