Community Child Care Coordinating Council (4Cs) of Alameda County is a nonprofit organization serving families and child care providers in Alameda County. 4Cs of Alameda County exists to develop and coordinate resources for families and children.

The Agency Receptionist will function as the initial contact person for clients, guests and staff for the agency located at the administrative office in Hayward. This position performs a variety of clerical, recordkeeping, and customer service tasks to assist with a smooth operation of the agency. This position reports directly to the Supervisor, Office Administration. This is a non-exempt position.

Duties and Responsibilities

  • Engage courteously and professionally with clients & visitors in reception area, maintaining a clean, safe, and orderly lobby; and monitoring public areas for safety.
  • Responsible for answering/screening and transferring telephone calls to appropriate staff members, operating voicemail system, responding to emails, and answering questions about basic program information.
  • Receives, records, and distributes packages and mail.
  • Responsible for date stamping incoming mail and drop box items, metering outgoing mail and delivery to US Postal Service mailbox. Route drop box items as well as interoffice mail to the appropriate staff members.
  • Responsible for accepting and date stamping client documents
  • Responsible for giving out appropriate program forms to clients coming into the office and maintaining sign in sheets and client form request lists, and printing forms, packets, etc.
  • Responsible for maintaining the reception and client meeting room area by:
    a. Keeping publication racks filled
    b. Keeping reception area neat and organized
    c. Clean children’s toys and tables weekly and
    d. Refill free children’s book rack
  • Responsible for ordering supplies for the Hayward office including ordering, maintaining, and purchasing all office and breakroom supplies.
  • Responsible for preparing checks for deposit and recording in check log
  • Responsible for processing check requests (invoices) for administration department invoices.
  • Responsible for dispensing and reconciling petty cash for the Hayward office.
  • Copies, collate, and otherwise prepares reports for mailings, petty cash, and other correspondence.
  • Performs data entry and filing tasks for the leadership team as needed
  • Responsible for giving light clerical support to departments.
  • Assist with Volunteer Income Tax Assistance (VITA) client packets & appointments
  • Other duties as assigned

Qualifications

  • 1-2 years administrative experience & A.A. or A. S. Degree preferred
  • Bilingual – Spanish (speaking/written)
  • Flexible and adaptable in various situations and when interacting with many different personalities
  • Excellent interpersonal and customer service skills
  • Proficient with Microsoft Office Suite or related software
  • Preferred ability to type 50 words per minute
  • Ability to proofread
  • Basic understanding of office equipment and experience with multi-line phone systems
  • Basic understanding of administrative and clerical procedures and systems
  • Ability to organize and prioritize work
  • Ability to work independently and solve problems
  • Excellent communication and writing skills
  • Transportation required

Position: Resource and Referral Health and Safety Educator
Location: Hayward
Hours: 8:30 am to 5:00pm

Work Week: 37.5 hours
Start Date: ASAP
Salary: $22.69/hour – DOE

Community Child Care Coordinating Council (4Cs) of Alameda County is a nonprofit organization serving families and child care providers in Alameda County. 4Cs of Alameda County exists to develop and coordinate resources for families and children.

The R&R Health and Safety Educator is the point person for all aspects of our Preventative Health and CPR/First Aid trainings. The Educator is certified to minimally teach Preventative Health Practices (PHP) and Cardiopulmonary Resuscitation (CPR) & First Aid (FA). The Educator works closely with families and child care providers as part of 4Cs’ Resource and Referral Team.
The R&R Health and Safety Educator reports to the Manager, Resource and Referral Provider Services. This is a non-exempt position.

Duties and Responsibilities

  • Leads 4Cs’ Health and Safety (H&S) classes, including enrollment, training set up, tracking and reporting, communication with other R&Rs and H&S trainers, purchasing H&S equipment and supplies, and annual reporting. Handle promotion and scheduling of all H&S classes, including selecting trainers and dates.
  • Have valid CPR/FA card and PHP certificate.
  • Have valid CPR/FA and PHP Instructor Certification
  • Working with R&R Manager, track budgeted expenses for trainings, including trainer fees and other workshop expenses.
  • Working with R&R Manager, ensure Health and Safety trainings offered meet provider needs, including offering H&S trainings offsite for community partners.
  • Provide child care consultation and referrals, as well as any relevant community resources, to parents who call 4Cs’ referral line or come into our office for assistance.
  • Maintain accurate and up to date files on all child care providers in 4Cs files, including regular updating of all child care provider files in 4Cs R&R database (My Child Care Plan) as needed.
  • Assist with 4Cs workshops, community events and special projects that may include evenings and weekends.
  • Represent 4Cs at meetings, community events and serve on committees as assigned.
  • Attend agency staff meetings, R&R department meetings and other trainings as assigned.
  • Other duties as assigned.

Qualifications

  • Valid CPR/FA card and PHP certification
  • Valid CPR/FA and PHP Instructor certification
  • AA or higher in Early Childhood Education, Child Development or related field preferred.
  • Excellent communication skills
  • Strong time management skills
  • Ability to work well with diverse populations
  • Ability to work independently and as part of a team.
  • Strong computer skills including MS word, Excel and Power Point
  • Transportation required
  • Must be able to consistently work evenings and weekends
  • Bilingual Spanish-English or Chinese-English speaking candidate preferred

Position: Manager, Quality Assurance
Location: Hayward and Oakland Offices
Hours: 8:30 am to 5:00pm

Work Week: 37.5 hours

Salary: $61,081/Per Year – DOE

Community Child Care Council (4Cs) of Alameda County is a nonprofit organization serving families and child care providers in Alameda County. 4Cs of Alameda County exists to develop and coordinate resources for families and children.

The Manager, Quality Assurance will be responsible for ensuring compliance and accuracy of all parent & provider program files and provider reimbursements.

The Manager, Quality Assurance will report to the Director, Payment Programs. This is an exempt position.

Duties and Responsibilities

  • Design, implement and monitor an internal audit systems to ensure:
  • Compliance with contract regulations and agency policies and procedures
  • Timesheets are calculated accurately, and child care payments are made in accordance with the parent/provider agreements, i.e., hours, days, age of child
  • Staff are trained efficiently on NOHO, parent handbook/guidelines, program procedures & according to Federal, State or county guidelines
  • Perform internal audits, and work with the program managers/supervisors to identify and correct errors in parent files, provider files, and provider reimbursements
  • Prepare for external audits by 4Cs auditors, CDSS, ACSS & be the staff liaison for said audits
  • Analyze and update all federal, state, county and Board level policies and recommend and/or create internal policy and/or procedural changes as appropriate
  • Maintain and update policy and procedural manuals, training materials
  • Analyze audit results to develop, design, and implement training activities with training evaluations included
  • Oversee the development and implementation of a training program for new subsidy staff
  • Oversee the transfer process from stage 1 to partner agencies and the enrollment process from 4Cs Eligibility List
  • Work with managers to coordinate investigations and referrals regarding cases of possible fraud
  • Design & implement a system for tracking and prepare monthly data reports to ACSS, CDSS & other funding sources. Develop and provide monthly reports regarding contract compliance
  • Provide technical support to program managers and staff as needed
  • Develop a thorough understanding of NoHo Care data base system
  • Ensure reimbursement to Child Care Providers (payments) are done according to contract requirements
  • Participate in CAPPA meetings and other outside meetings as directed
  • Other duties as assigned.

Qualifications

  • BA in Business, Public Administration or Social Work
  • Experience in early childhood care & education field
  • Experience in data collection & reporting
  • Experience in contract compliance
  • Computer experience, Data entry, Microsoft office
  • Ability to train adults through verbal and/or written presentations
  • Excellent oral communication and written presentation skills
  • Must be able to work with minimal supervision
  • Experience working with the county &/or State desirable
  • Transportation required
